Holding events at a park or reserve

All City of Stirling parks and reserves are open to the public. In order to hold an event, you will need to make a booking. Find out how to do so.

 
 

Booking of events

Prior written permission is required to hold the following on City of Stirling parks or reserves:
• Weddings
• Commercial filming and photography
• Christmas functions
• Large social gatherings
• Events
• Company picnics.
Booking a reserve ensures that events do not clash, appropriate permissions are obtained, and site meetings can be arranged where necessary. Fees apply, and approval is granted on an individual basis.
 
As our reserves are public places, we cannot grant exclusive use of any part of a reserve or allow any part to be cordoned off. Casual spectators and members of the public cannot be excluded from using a reserve.
 
Alcohol is not permitted on the City's parks and reserves. Items such as bouncy castles and party ponies need express approval to be brought on to reserves. Keys to the toilets or the access chain may accompany a booking if approval is granted.
 
If you wish to hold a function within a club room on a reserve, you will need to contact the respective club. Information and contact details can be found on the Community Information database.
 
 

Application for use of a park or reserve

Applications should be made in writing at least 3 weeks prior to an event. A Reserve Usage Small Event Application Form needs to be completed, detailing as much information about the event as possible.
 
 
Organisers of events open to the general public, or those with over 500 people, will need to fill out a separate Event Application Form at least 6 weeks prior to the event, which can be obtained from the Arts and Cultural Development Officer .

Weddings

The City of Stirling has numerous public open spaces that are ideal wedding locations.
 
If you wish to hold your ceremony in a City of Stirling reserve, please complete the Reserve Usage Small Event Application Form  above, detailing as much information about the event as possible. This ensures that the reserve will be in good condition for your special day, events do not clash, special conditions can be taken into consideration and access to reserve facilities organised.
 
Applications should be received by the City at least 3 weeks prior to your wedding. The fee is $43.00 per hour (inclusive of GST) and must be paid prior to the event.

Sports fields

Bookings for casual use: schools, clubs, associations or individuals
 
Sporting grounds can be booked for a casual (one-off) sporting event, 3 weeks prior to the requested date, using the Sports Grounds Casual Usage Booking Form.
Senior sporting ground booking fees are $134.00 per day (inclusive of GST). There is no charge for schools or junior usage.
 
 
 

Bookings for seasonal use

Sporting clubs in the City of Stirling are able to make seasonal bookings of sporting facilities. Applications are mailed to existing clubs in July for summer bookings (October to March) and in January for winter bookings (April to September). A Seasonal Sporting Ground Application Form will need to be completed for each reserve a club wishes to book.
 
 
Terms and conditions apply for all reserve bookings. New clubs looking to secure a seasonal booking will need to contact the Club Development Officer—Reserves to discuss their requirements.
